What an agency CRM actually needs to do
The CRM features that matter to an agency are different from the features that matter to a software vendor. An agency needs to manage relationships, of course — contacts, companies, deal pipeline — but it also needs every capability that sits between "deal won" and "renewal won". That includes project workspaces, file libraries, proof and approval workflows, time tracking for billable hours, recurring tasks for retainer deliverables, monthly reporting templates, quoting, e-signature and invoicing.
A CRM that handles all of that is rare. Most agencies end up with a sales CRM plus a project tool plus a file tool plus a proofing tool plus a billing tool plus a portal — six products with six bills, six logins, six permission models and six places for client data to drift out of sync. The cost of that stack is rarely the subscription fees. It is the hours of account-management time spent reconciling status between tools.
