How to handle restaurant phone bookings without leaving the floor

    Updated 29 October 2026

The phone always rings at 7.30pm on a Friday. Someone has to leave a table, find the diary and take a booking while orders back up. Or nobody answers, and the caller books somewhere else.

Most restaurants can take the phone off their staff's hands without losing a single booking. Here's how.

Why restaurants miss so many calls

Booking calls bunch up at exactly the wrong times: lunch and dinner service, and the hour before. That's when every member of staff is busiest. Calls also come in after closing, when nobody is there at all.

    Take bookings online first

A booking page on your website and Google Business Profile takes a large share of bookings without a phone call. Show live table availability, ask for party size and any allergies, and confirm by email or text straight away.

Let an AI receptionist answer the phone

For the people who still ring, an AI receptionist can answer every call. It checks the same live availability as your booking page, takes the booking with party size and allergy notes, answers questions about opening times, parking and the menu, and passes anything unusual, such as a large private party, to the manager with a summary.

You decide when it answers: during service only, after closing, or whenever the phone isn't picked up after a few rings.

    Cut no-shows on busy nights

Send a reminder the day before with a link to change or cancel. For special events or your busiest nights, consider taking payment at booking. Both make a real difference to empty covers.

    Keep one diary

Whatever channels you use, keep every booking in one place so the phone, the website and the front of house all see the same tables. Double bookings come from separate diaries.

    Frequently asked questions

Can an AI receptionist take table bookings?

Yes. HaloTasker's AI receptionist checks live availability during the call and books the table with party size and allergy notes.

What if a caller asks something it can't answer?

It takes a message or transfers the call to a member of staff based on your rules, and sends you a summary of the call.

Can we take payment when people book?

Yes. Booking calendars can take card payment through Stripe at the time of booking, for example for set menus or special events.

Does it work with our existing number?

Yes. Forward your existing number to it, so customers keep ringing the number they know.
